We are excited to announce the first release of Draftable Clean — a new standalone metadata cleaning product from Draftable. Draftable Clean scans, identifies, and removes hidden metadata from your documents before they are shared, helping protect your organization from inadvertent data leaks. Here are the five key features in this first release:
  • Risk-rated metadata scanning across 58+ metadata types for Word and PDF documents, with per-file risk levels and an intuitive review workflow
  • Configurable cleaning profiles with three actions per metadata type — Preserve, Remove, or Replace — and three ready-to-use built-in profiles
  • Outlook add-in for automatic cleaning that scans and cleans email attachments on send, with domain-based profile rules and send protection controls
  • DMS integrations with iManage, NetDocuments, and SharePoint for loading files directly from your document management system
  • Enterprise deployment with Group Policy and Intune including ADMX/ADML templates, admin cleaning profiles, and both per-user and machine-wide MSI installers

Core Functionality

Checks each file for hidden metadata, flags the level of risk, and lets you decide what to remove

Expand a file to see metadata detail grouped by category Draftable Clean introduces a four-step workflow — Scan, Review, Clean, Share — that gives users full visibility and control over hidden metadata in their documents. When files are loaded, Draftable Clean automatically scans them and assigns a risk rating (High, Medium, or Low) based on the types of metadata detected. The scan results are displayed in an expandable detail view, organized across five metadata categories: Personal Information, Document Properties, Tracked Changes & Comments, Document Content, and Other Metadata. Each category shows the number of detected items, and users can drill into individual metadata fields to see exactly what will be cleaned. This release supports Word documents (.doc, .docx) and PDF documents (.pdf), along with ZIP archives containing supported file types. Password-protected Word and PDF files are also supported — users are prompted to enter the password before scanning can proceed. Enter a password for protected files to enable scanning

Configurable cleaning with Preserve, Remove, and Replace actions

Profile settings with per-metadata-type configuration Rather than offering a simple “clean all” option, Draftable Clean provides granular control over how each of the 58+ supported metadata types is handled. For each metadata type, users can choose to:
  • Preserve — leave the metadata untouched
  • Remove — delete the metadata entirely
  • Replace — substitute with a custom value (available for fields like Author, Creator, Manager, and Comments Author)
This ensures that cleaning can be tailored to the specific requirements of each document sharing scenario, from full scrubbing for external distribution to lighter cleaning that preserves tracked changes for internal review.

Cryptographically signed PDF handling

When Draftable Clean detects a cryptographically signed PDF, it automatically skips cleaning for that file to preserve the integrity of the digital signature. Users are notified via the add-in with an “Unsupported format” status. Visual signatures (such as those applied through Adobe Fill & Sign) do not prevent cleaning.

Undo Clean

After cleaning, users can undo the clean to restore the file to its original state, provided they have not yet saved or closed the application. This provides a safety net when reviewing cleaning results before sharing.

Integrations

iManage integration

Integrations settings for iManage and NetDocuments Draftable Clean integrates directly with iManage, allowing users to load files from their iManage workspace. The integration is enabled in Settings > Integrations and requires the iManage Server URL to be configured. Both iManage Cloud and on-premises deployments are supported.

NetDocuments integration

NetDocuments integration is automatically enabled when the ndOffice desktop application is detected on the user’s machine. Users can load files from NetDocuments without additional configuration.

SharePoint integration

Draftable Clean supports SharePoint documents accessed through local folders (synced via OneDrive or mapped drives). Files can be loaded from SharePoint-synced locations using the standard Browse workflow.

Outlook add-in for automatic cleaning on send

Outlook add-in showing cleaned attachments in a draft email The Draftable Clean Outlook add-in brings metadata cleaning directly into the email workflow. Once deployed by a Microsoft 365 administrator, the add-in runs in the background and automatically scans and cleans attachments as they are added to an email. Key capabilities of the add-in include: Cleaning profile automatically updates based on recipient domain
  • Domain-based automatic profile selection — administrators can configure rules that map recipient email domains to specific cleaning profiles, so external emails are automatically cleaned more thoroughly than internal ones
  • Automatic re-cleaning when recipients change — if a user changes the email recipients, the add-in detects this and re-applies the appropriate cleaning profile with a “Recipients changed” notification banner Send protection prompt when tracked changes are detected
  • Send protection controls — configurable behavior (Block, Prompt, or Allow) for three scenarios: attachments still being cleaned, files containing tracked changes or comments, and unsupported file types
  • Insert Attachment List or Table — users can insert a formatted list or table of all email attachments directly into the email body
  • Per-file profile override — if enabled by an administrator, users can change the cleaning profile for individual attachments within the add-in
The add-in supports Outlook on the web, New Outlook for Windows, and Classic Outlook on Windows, and communicates with the desktop application via localhost.

Ease of Use

Drag-and-drop and desktop file loading

Files can be loaded into Draftable Clean via Browse dialog, drag-and-drop from the desktop or file explorer, or directly from iManage and NetDocuments using the toolbar buttons.

Multi-language support in the Outlook add-in

Language support in the Outlook add-in The Draftable Clean Outlook add-in supports 10 languages: English, Deutsch, Español, Français, Japanese, Nederlands, Polski, Português, Svenska, and Tagalog. The language is automatically selected based on the user’s Windows locale.

Inline rename and file reorder

Click the pencil icon to rename a file Files can be renamed inline using the pencil icon and reordered via drag-and-drop in both the desktop application and the Outlook add-in. Both the renamed filenames and the custom ordering are preserved when saving or emailing cleaned files.

Save to ZIP and email export (desktop application)

Share cleaned files via email with attachment list and preserved rename and reorder In the desktop application, cleaned files can be saved locally, exported to a ZIP archive with a timestamped filename, or emailed directly via Outlook with a configurable subject, body, and attachment summary. The email workflow supports both List and Table formats for the attachment summary inserted into the email body.

End-User Configuration

Built-in and custom cleaning profiles

Set all files to one profile using the global profile selector Draftable Clean ships with three built-in profiles designed for common scenarios:
  • Standard Clean — removes all metadata categories, designed for external sharing
  • Clean Share — preserves tracked changes while cleaning all other metadata
  • Clean Draft — preserves both tracked changes and comments, for internal review
Users can create additional custom profiles. Within each profile, per-category toggles (Preserve All / Remove All) enable quick setup, while individual metadata type settings provide fine-grained control. A search function within the profile editor helps users locate specific metadata types quickly.

Per-file profile overrides

Set one file to a different cleaning profile using the file-level selector When working with a batch of files, users can override the global profile for individual files using the per-file profile dropdown in both the desktop application and the Outlook add-in (if enabled by an administrator). This allows different files in the same batch to be cleaned with different profiles — for example, cleaning a cover letter with a Standard Clean profile while applying a Clean Draft profile to an accompanying contract.

Admin Configuration

Group Policy and Intune support

Draftable Clean ships with ADMX/ADML administrative templates that integrate with Active Directory Group Policy for centralized configuration. Templates are installed with the application in the GroupPolicy folder and can be deployed to the Central Store. Computer Configuration policies include: product key, automatic updates, usage statistics, exception reports, auto-accept Terms & Conditions, auto-launch on Windows start, custom error messages, and custom support email. User Configuration policies include: Outlook add-in settings, admin cleaning profiles (as JSON), domain rules for automatic profile selection, attachment summary format, and send protection behavior. For organizations using Microsoft Intune, deployment is supported via ADMX import or OMA-URI direct registry writes.

Admin profile editor

Admin profile editor for visual cleaning profile configuration Administrators can create and edit cleaning profiles visually using the admin profile editor, launched via DraftableClean.exe --admin-profile-editor. The resulting JSON can be deployed through Group Policy to enforce organization-wide cleaning standards.

Enterprise deployment options

Draftable Clean offers two installer options:
  • Default Installer (.exe) — per-user installation with automatic updates, no admin rights required
  • Machine-Wide MSI — system-wide installation for enterprise environments, including Citrix and Remote Desktop Services, with support for silent deployment and management via SCCM, Intune, or Group Policy Software Installation

Reliability

Local processing — documents never leave your machine

All metadata scanning and cleaning is performed locally on the user’s machine. No document data is transmitted to external servers during the cleaning process. This is a fundamental design principle of Draftable Clean, ensuring that sensitive documents remain within your organization’s control at all times.

Bug Fixes
